Program Assistant | Manabik Shahajya Sangstha

Job Purpose
The Programme Assistant will play an integral role in providing administrative support to ensure the smooth operation of the Eye Care Programme at MSS (ECP-MSS). The incumbent will work closely with the Eye Care Programme team and will be responsible for maintaining communication with partner hospitals, programme team members, and relevant stakeholders.

Education: A Bachelor’s degree in a relevant discipline such as Social Sciences, Business Administration, Public Health, Communications, or any related field.

Experience: 1–3 years of proven experience in an administrative or programme support role, preferably within an NGO environment or a health-related programme.

Additional Qualifications

  • Strong administrative and organisational skills to manage documentation, scheduling, and office operations.
  • Excellent written and verbal communication skills in both English and Bangla to liaise with stakeholders, beneficiaries, and team members.
  • Proficiency in clerical support and IT skills, including computer composition, data logging, chart preparation, and MS Office (Word, Excel, PowerPoint).
  • Ability to collect, compile, and summarise reports and programme information accurately.
  • Experience in event and logistics management for meetings, seminars, workshops, and/or health camps is desirable.

Duties and Responsibilities
(Responsibilities include, but are not limited to, the following)

Programme Support

  • Gather information from programme team members, beneficiaries, and stakeholders.
  • Provide support to senior officials in preparing project proposals, concept notes, expressions of interest, and reports.
  • Assist in planning, organising, and conducting eye/health camps as required.
  • Update and maintain effective communication and information flow with local authorities, government offices, NGOs, INGOs, stakeholders, beneficiaries, and media.
  • Keep all programme-related documentation up to date (plans, reports, graphs, charts) to ensure supervisors have a clear understanding of programme status.
  • Assist in preparing comprehensive programme reports, newsletters, leaflets, flyers, brochures, and event budgets.
  • Liaise with Finance, HR, and Admin departments when required.

Administrative Duties

  • Assist with regular administrative activities of the programme.
  • Attend phone calls, text messages, and respond appropriately.
  • Manage incoming and outgoing documents, ensure timely distribution, and maintain proper records.
  • Schedule meetings, prepare necessary materials, and document and distribute agendas and minutes.
  • Collect and compile all required reports as guided by the supervisor.
  • Provide administrative support including computer composition, data logging, chart creation, and website updates.
  • Assist in organising meetings, seminars, workshops, symposiums, recruitment activities, and training programmes.
  • Perform any other programme-related duties as assigned.

Compensation & Other Benefits

  • Salary: Tk. 16,000
  • Other Benefits: As per the organisation’s policy
  • Employment Status: Contractual (Full-time)
