Position: Officer / Assistant Officer (Admin & Procurement)
Responsibilities & Context
The Officer/Assistant Officer (Admin & Procurement) is responsible for overseeing the day-to-day administrative operations of MSS, including handling procurement, store management and vehicle management, travel management, printing and publications, office stationery, record-keeping, and documentation. The officer will ensure smooth functioning and compliance with organisational policies.
Key Responsibilities
Vehicle Management
- Manage vehicle allocation, maintenance, and ensure proper utilisation of all vehicles
- Keep accurate records of vehicle usage, fuel consumption, and maintenance schedules
- Coordinate with drivers for timely transportation services for staff and official purposes
Procurement & Store Management
- Manage the procurement of office supplies, equipment, and services in line with organisational needs
- Maintain records of purchased goods and services, ensuring adequate stock levels
- Oversee the proper storage and distribution of materials and supplies
Printing & Publications
- Coordinate printing and publication tasks such as newsletters, brochures, annual reports, and other materials
- Ensure timely and quality printing and distribution to the relevant field offices, departments, and external stakeholders
Record-Keeping, Documentation & Maintenance
- Maintain an organised filing system of administrative records, reports, and documentation
- Manage office equipment, ensuring timely repairs and replacements as needed
- Supervise external vendors providing maintenance and security services
Coordination & Event Management
- Assist in organising internal meetings, trainings, and events
- Coordinate logistics for company events, including venue setup and catering arrangements
Health & Safety Compliance
- Ensure that the office environment adheres to health and safety regulations
- Organise fire safety drills and provide staff with necessary safety information and resources
Others
- Perform any other tasks assigned by the management to support smooth administrative operations
Requirements
Education
- Bachelor of Business Administration (BBA)
- Bachelor’s degree in Business Administration, Management, or any relevant field from a reputed university
- Professional courses in Supply Chain Management will be an advantage
Experience
- 2 to 3 years
- Applicants should have experience in the following business area(s): NGO, development agency, micro-credit
Additional Requirements
- Age: At most 35 years
- Preferably 2–3 years of experience in a similar administrative and procurement role
- Prior experience in procurement, store management, vehicle management, travel management, and printing/publications will be preferred
- Skills & Expertise: Printing, purchase/procurement, vehicle management
